People and Personnel

People

The people database plays a central role throughout the IVy Incidents system. People are referenced by almost all functions whether they are employees, residents, consultants or even visitors. While you are viewing a person's file, you have the ability to view all the incident reports that the person is involved in. Changing a person's information in the People database updates all related records to that person instantly.

To enter a person in the database, all you need to know is their first and last name but the system is much more powerful than that. The people database has the ability to keep records about a person as detailed as you need. You can enter from date of birth to social security numbers and declare status and job information but the system also provides fields for description, contact information, IDs, aliases, emergency contact and emergency medical notes. You have the ability to attach unlimited number of photos, addresses, phone numbers and email addresses.

Finally, you also have the ability to create a "Use Caution" note that will be displayed at the access control posts and raise an alert to security personnel if a specific person uses their ID to gain access to a building or an area.

 

Personnel

The personnel database is also connected to the people database and provides fields for shift information, security department role if any, education, training, achievements, disciplinary, evaluations and document attachments. A reminder function is also provided to allow administration to keep up with training requirements. As with most entry forms in IVy Incidents, there is a free text field for notes and another free text field for administrative notes that is visible to users with administrative access only.
