Security Department Logs
Consistent and trackable day to day operations
IVy Incidents has worked with security departments in higher education to analyze the day to day operations from both an administrative and field work perspective. This resulted in the creation of multiple logs that target all operations of the department making it easy to use for data entry and provides a single point of management for directors and supervisors. Our system will notify dispatchers and security officers when tasks are not performed or have been abandoned.
Equipment Log
The equipment log is designed to help you keep track of your department's equipment. Just like in the case of the key log, the equipment is now tracked by logging who gave it to whom and if it was issued permanently or temporarily. The system will issue a warning if equipment that was issued temporarily is not returned back to the department.
Securing Buildings
This is a log that records information about securing buildings. It keeps information such as which officer performed the function, what time it started and what time it ended. If there was an issue that needs to be reported such as an unlocked door or a broken window, the dispatcher has the ability to link a dispatch record to the specific building secure entry in order to document the necessary details. If the procedure to secure a building takes longer than expected, the dispatcher will receive an alert.
Roll Calls
You can take advantage of the Roll Calls log that record your officer's locations as you request a location feedback by them. This log, if used, allows the system to keep track of the last known location of an officer. It will also alert the dispatcher if roll calls are not performed at predetermined intervals.
Escorts
The Escort log records all escorts provided by the security department to the public or personnel. It can accept multiple escorting officers and multiple escorted people per entry while it holds information such as the pickup and drop off point and what vehicle was used, if any.
Shifts
Keeping track of the current shift is important to the functions of the system as it allows to provide more specific information during incident documentation and other functions. The Shifts log also keeps track of book offs, tardiness and overtime as it records the time that each officer started and ended their shift. Typically, the Shifts log is managed by the dispatcher or the shift supervisor. It also keeps track of vehicles used during the shift and the recorded mileage of those vehicles.
Time Tracking
You can track the time that you have spent for any function of your department by using the time tracking log. While you can enter independent entries to keep track of time spent, or anything you deem important, the log also tracks time spent on incidents automatically with system entries. The timing information can later be analyzed and provide with an understanding of how long it takes to complete a task or even how much time a specific officer has spent on an investigation.
